1. Acceptance of these terms

By accessing or using this website, submitting a consultation request, or using a feature that links to these Terms & Conditions, you agree to these terms and to the Privacy Policy. Please do not use the website if you do not agree.

Separate proposals, service agreements, invoices, supplier terms, authorizations, or booking conditions may apply to a particular journey. When those documents conflict with these general website terms, the more specific document controls for that service or booking.

2. Advisory services

Velsain Private Travel Advisory provides travel research, advisory, planning, coordination, and related services. A consultation request is an invitation to discuss potential services; it is not an acceptance of work, a booking, or a guarantee of availability.

The scope of planning, professional fees, payment timing, revisions, refundability, and included services will be communicated before paid planning begins. Travel costs charged by suppliers are separate from Velsain's professional planning fees unless expressly stated otherwise in writing.

3. Quotes, availability, and booking confirmation

Travel prices, schedules, room categories, fares, amenities, promotions, and availability can change without notice. A quote is not a reservation and does not hold space unless Velsain or the applicable supplier expressly confirms otherwise in writing.

No travel service is considered confirmed until all required traveler information, approvals, authorizations, deposits, or payments have been received and written confirmation has been issued by Velsain or the applicable supplier.

4. Independent travel suppliers

Airlines, hotels, resorts, cruise lines, tour operators, transfer providers, ticketing platforms, insurance companies, and other travel suppliers are independent businesses. Their products and services are governed by their own terms, conditions, privacy policies, cancellation rules, and limitations of liability.

Velsain acts as an advisor and intermediary and does not own, operate, manage, or control those suppliers. To the extent permitted by law, Velsain is not responsible for a supplier's acts, omissions, insolvency, schedule changes, service failures, injuries, property loss, or other events outside Velsain's reasonable control.

5. Traveler responsibilities

Travelers are responsible for:

• Providing accurate legal names, birth dates, contact details, and other requested information by stated deadlines.
• Reviewing confirmations, invoices, itineraries, and supplier terms promptly and reporting errors.
• Maintaining valid passports, visas, entry permissions, identification, vaccinations, health documentation, and other required travel documents.
• Understanding destination conditions, local laws, customs, accessibility, health considerations, and personal safety risks.
• Arriving on time and complying with supplier rules, baggage limits, conduct standards, and check-in requirements.
• Making payments by applicable deadlines and ensuring the payment method is authorized.

6. Travel insurance

Travel involves financial and personal risk. Travel insurance may provide protection for circumstances such as cancellation, interruption, delay, medical treatment, evacuation, baggage loss, or supplier default, subject to the policy's terms and exclusions.

Velsain may provide access to insurance information or refer travelers to an insurance provider, but does not guarantee coverage or decide claims. Travelers are responsible for reviewing the policy and deciding whether coverage is appropriate. Declining insurance may leave the traveler responsible for otherwise non-refundable losses.

7. Changes, cancellations, and disruptions

Changes or cancellations may result in supplier penalties, fare differences, professional service fees, or non-refundable charges. Any applicable terms will depend on the specific proposal, booking, supplier, and timing of the request.

Events such as severe weather, natural disasters, public-health events, strikes, government actions, security incidents, transportation failures, or other circumstances beyond reasonable control may affect travel. Velsain will make reasonable efforts to assist, but cannot guarantee a particular outcome, refund, replacement, or recovery from a supplier.

8. Website information and intellectual property

Website content is provided for general information and inspiration. Although Velsain aims for accuracy, destination details, supplier information, prices, entry requirements, and other travel information may become outdated or incomplete.

The Velsain name, branding, website design, written copy, graphics, photographs, itineraries, and other original materials are owned by or licensed to Velsain and may not be copied, republished, sold, modified, or commercially used without written permission, except as allowed by law.

9. Client stories and submissions

You retain ownership of original material you submit. By asking Velsain to consider material for publication, you confirm that you have the right to provide it and that it does not violate another person's privacy, publicity, copyright, trademark, or other rights.

Material will not be intentionally published as a client story without permission. When publication is approved, the parties may confirm attribution, editing, duration, and removal expectations separately. Velsain may decline, edit, unpublish, or remove submitted material at its discretion, subject to any written agreement.

10. Third-party links and affiliate relationships

The website may link to third-party websites, booking platforms, suppliers, or affiliate partners. Velsain does not control those websites and is not responsible for their content, availability, security, or privacy practices.

11. Disclaimers and limitation of liability

To the fullest extent permitted by law, the website and its content are provided on an "as available" basis without warranties of uninterrupted availability, error-free operation, fitness for a particular purpose, or guaranteed travel results.

To the fullest extent permitted by law, Velsain will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages arising from use of the website, reliance on website content, or acts or omissions of independent suppliers. Nothing in these terms excludes liability that cannot legally be excluded.

12. Governing law and changes

These general website terms are governed by the laws of the State of Colorado, without regard to conflict-of-law principles, except where applicable law requires otherwise.

Velsain may update these terms as services, website features, supplier practices, or legal requirements change. Updated terms will be posted on this page with a revised last-updated date. Continued use of the website after an update constitutes acceptance of the revised terms.
