Yes. Velsain plans refined weekends close to home, domestic celebrations, wellness retreats, city stays, and longer trips within the United States. The destination's distance does not determine the planning approach. Recommendations are based on the occasion, traveler preferences, pace, accessibility needs, travel investment, and amount of coordination required. Domestic requests may include accommodations, transportation, dining, activities, and itinerary organization according to the agreed scope.

Earlier planning generally provides more choice for accommodations, flights, guides, dining, and limited-availability experiences. The appropriate lead time depends on the destination, season, group size, routing, and complexity of the request. International, holiday, expedition, and group travel usually benefit from additional time. Closer-in requests may be considered when supplier availability and the required planning scope allow.

Yes. Velsain charges one flat, non-refundable professional planning fee based on the complexity and level of coordination required, rather than charging per traveler. Every request begins with a complimentary discovery conversation. Once the trip's needs are understood, the planning scope, included services, and fee are provided before work begins. Supplier costs for accommodations, transportation, dining, and activities are separate from Velsain's planning fee.

Yes. Velsain considers executive retreats, leadership gatherings, incentive travel, client experiences, creative productions, private groups, and milestone celebrations. Planning may include accommodations, group transportation, dining, meeting spaces, activities, special occasions, and itinerary organization. Each request is reviewed for destination fit, group size, timing, supplier availability, and the coordination required. The planning scope and professional fee are quoted according to the specific gathering.

Your request is reviewed personally for destination, timing, priorities, travel investment, and the level of coordination needed. If the request aligns with Velsain's services and availability, you will be invited to a complimentary discovery conversation. A written planning scope and flat professional fee are then provided. Research and design begin after the scope is accepted and the planning fee is received. Recommendations are reviewed with you before approved arrangements are confirmed.

Consultation requests are personally reviewed. Please allow one to two business days for a response. No additional action is required after your request has been submitted.

We are available to assist you Monday–Friday, 8:00 a.m.–8:00 p.m. Mountain Time (unless different support hours are provided for your trip). If you need assistance while traveling, we’ll help with itinerary questions, booking issues, and other travel-related concerns during those hours.

If you have after-hours support included with your booking (or have purchased it separately), you can also receive assistance outside of normal business hours. For urgent situations when after-hours support is not included, please contact your airline, hotel, tour operator, or travel insurance provider directly until our office reopens.
